AppX designed and developed a multi-platform solution for IULCOME, an annual event at a prestigious Lisbon university, featuring administration tools, a gamified app, and TV streaming capabilities.
IULCOME is an annual event hosted by ISCTE – University Institute of Lisbon, designed to welcome new students and facilitate their integration into university life. This large-scale initiative involves all courses and includes partnerships with several external entities. It serves as a pivotal moment for students to meet each other and engage in a variety of activities and games, fostering a sense of community and belonging.
To support these ambitions, ISCTE partnered with AppX to develop digital solutions for the event. This collaboration aimed to enhance the IULCOME experience, facilitating student engagement and event activities. Over the course of three editions, AppX has continuously refined and expanded the solution to accommodate the event’s growth and evolving needs.
Recognizing its potential but also the considerable logistical challenges involved, AppX was invited to create a multi-platform solution for IULCOME. This system would have to integrate an extensive array of modules to facilitate direct interaction with participants and organizational members. One of the primary challenges of the solution was ensuring the creation of complete teams, each composed of participants from various courses, using only real-time information. This logistical complexity arose because it was unpredictable which participants would attend before the event.
The solution developed for the IULCOME initiative is a robust multiplatform system that efficiently manages event logistics and enhances participant engagement. Key features include seamless team formation at check-in through integration with the institution’s student management platform, and efficient attendance tracking via card scans. Participants can book lunches and engage with the event through a comprehensive gamified mobile app, which also tracks their points and provides vital event information.
The system’s management backoffice handles all aspects of the event, from team assignments to session oversight, ensuring smooth operations. Additional features like real-time score updates further enrich the experience, integrating seamlessly into the institution’s existing signage systems.
The customized backoffice enables comprehensive management of all event facets, including participant data, team configurations, volunteer site logistics, form responses, session scheduling, and peddy paper posts, ensuring streamlined operations across all dimensions of the event.
The app consolidates all essential event information into a single interface, providing participants with access to details such as points, team assignments, mentor contacts, volunteer site locations, and campus maps. Additionally, it facilitates attendance validation and enables participants to respond to questionnaires, thereby earning points and enhancing engagement.
A stand-alone portal is installed at the lunch stations to validate and track the lunches distributed each day, ensuring efficient management of meal provisions. Additionally, the staff app is designed to scan the cards of participants and mentors, efficiently marking lunch credentials in real time.
The solution integrates real-time scoring into the institution’s existing signage system, allowing scores to be displayed alongside routine news and content, ensuring seamless information flow during the event.
To support the required functionalities, various modules were developed using advanced technologies suited for each task. ReactJS facilitated the rapid creation of a progressive web app that does not require installation, enhancing accessibility. The Laravel framework streamlined the development of the application’s backend and other modules, providing built-in security for database interactions and endpoint access control, ensuring a robust and efficient system.
The solution crafted by AppX significantly enhanced the client’s event management capabilities, streamlining operations and enriching participant engagement with innovative features. By providing a dynamic and adaptable platform, AppX enabled the client to seamlessly handle the complexities of their large-scale event, from team formations to real-time interactions.
This technological advancement not only improved the efficiency and effectiveness of event logistics but also elevated the overall participant experience, reflecting positively on the client’s reputation and operational success. The client benefited from a tailored, scalable solution that met their specific needs, positioning them well for future events and ongoing growth in their sector.
AppX’s availability and professionalism were priceless in the construction and monitoring of the IULCOME 2018 project. To the initial challenge, and to the obstacles encountered before and during the activity, AppX revealed creativity and a greater capacity for adaptation and problem solving.
